Office Administrator
 

Employment Type: Full time
Hours: 8:00 – 5:00 (Mon-Fri)
Salary: £20,000 DOE
Holiday: 28 Days (Including Bank Holidays)

Job Description:

We are looking to employ a reliable, hardworking and driven Office Administrator to work within our team. Hartwood Joinery is a rapidly-growing manufacturer of high-quality commercial and residential joinery fit-outs with an expanding workforce. The successful candidate must be able to adapt to a very fast-paced environment and help a busy management team. Reporting to the Managing Director and Operations Director.

Desired Skills & Expertise:

  • Experience using Sage 50 preferred

  • Possess the ability to solve problems and be pro-active, innovative and flexible

  • Excellent verbal and written communication skills with the ability to communicate at all levels calmly when under pressure

  • Keen team player, self-motivated, able to use your own initiative and organise your own workload

  • Extremely trustworthy

  • Articulate, with excellent verbal and written skills with a good telephone manner

Key responsibilities:

  • Manage the switchboard and port all telephone calls

  • Administrative support to assist with preparing weekly reports, presentation and ad-hoc requirements

  • Organising the electronic diaries

  • Preparing, checking and submitting invoices and dealing with any subsequent related invoice queries with the MD and OD

  • Raising electronic monthly statements to send to clients

  • Assisting with document control for FSC, PEFC and ISO accreditations

  • Preparing delivery and collection notes under direction of Production Manager

  • Logging timesheets from the workshop into Sage

  • Organising holiday and sickness calendar alongside Operations Director

  • General document control and filing

  • Taking minutes from weekly production meetings when required

  • Raising project folders physical and electronic (print labels for all project and enquiry folders/document control)

The candidate will work alongside a part-time existing office / admin professional. The candidate will be provided with a dual screen computer linked to the company server for access to information and filing purposes.

Contracts Manager


Employment Type: Full time

Job Description:

The candidate’s primary tasks will involve managing live projects on a day–to-day basis once a purchase order is received. The candidate will work closely with the design, production and management team to ensure the project can be delivered within the clients’ lead time. 

- Liaise with our estimator to check what has been allowed for and that we have the latest architect/design drawings to work from.
- Produce schedules for projects when required
- Produce check-off sheets for projects so the full team is aware of what has been ordered and due dates
- Organise site surveys for the design team when required. Document and upload this information to the Company Server project folder
- Raise requisition forms for take-off materials, ironmongery and paints/lacquers – design co coordinator
- Ensure all correspondence is fully documented in the project folder on the company server and in the hard copy folder
- Managing finish samples for clients creating a schedule to ensure these are documented and these are signed off by the client.
- Deal with the client through the drawing approval process working alongside the design team prior to issuing to Production.
- Liaise with subcontractors when required i.e. metalworkers and glass suppliers. Ensuring they have relevant drawings and information required.
- The candidate will be involved with project specific meetings with the Production Manager to run through the project when handing over.
- Liaise with the clients when required through the design process alongside design team.
- Liaise with Production Management through the project to ensure any queries are dealt with and the programme is met.
- Liaise with Senior Management and the Director to ensure the smooth delivery of every project.
 
Responsibilities:

- Handover from estimating
- Liaise with clients to maintain strong working relationship at all times.
- Upon receipt of purchase order, request construction issue drawings whilst liaising with the design team
- Formulate a programme from the bill of estimated hours assigned to each item in conjunction with clients programme
- Organising subcontractors where required alongside the design team.
- Writing up RAMS and O&M Manuals when required
- Controlling the design team raising RFI’s and managing/documenting any variations
- Ensuring production can hit the dates required
- Attend design meetings taking detailed notes and logging these onto the company server in the project folder
- Build project folders – Purchase orders/requisitions/delivery notes/correspondence/minutes/emails
- Monitor projects with management to ensure deadlines are met and that the highest levels of quality are maintained at all times.
- Check through CAD drawings with the design and production team to ensure projects are set out utilising the best methods to suit our machinery capabilities.
- Basic CAD skills to be able to look over drawings etc.
- Coordinate with the Operations Manager and Director to keep them updated with projects
- Maintain lines of communication between workshop and management on significant project-related matters.
- Liaise with clients when required, helping to build on Hartwood’s strong working relationships.
- Liaising with subcontractors to ensure items are manufactured correctly and programme dates and quality standards are met.
- Good organisation of emails filing and logging correspondence


Other desired skills & expertise:

- AutoDesk AutoCAD (basic skill)
- A strong understanding and experience in high end joinery manufacturing
- Strong Microsoft Office skills (Word, Excel, Outlook, Project)
- Process-driven with excellent time management skills.
- A methodical approach to work and an eye for detail, with a strong interest to help the company grow and maintain its reputation for quality and meeting programme.
- Share best practice/efficient/reliable
- A clean full UK driver’s licence.


Note to candidate:

You will be given an office based desk with a dual screen computer linked to the company server for access to information required, plus telephone for local and external use. On busy occasions you may be required to work additional hours to ensure projects are on schedule. You will be provided with a company smartphone to monitor emails and maintain good communication at all times.


Bench Joiner 

Full time
Hours: 8:00am – 4.30pm (Mon-Fri)
Pay: Hourly rate (weekly) DOE
Holiday: 20 Days (plus 8 Bank Holidays)

Job Description:

We are looking to employ a skilled cabinet maker / bench joiner to work within our team. We manufacture a wide range of high-quality products. The successful candidate will need to be capable of working to an exceptionally high standard. Attention to detail is paramount and the successful candidate must be able to adapt to a very clean and structured workshop environment.

Duties to include all aspects of cabinet making, joinery and any other relevant duties as required. Site installation experience is also beneficial. Must be able to competently follow and understand technical drawings. During busy periods you may be required to work extra hours. These will be paid on a time-and-a-quarter basis of your hourly rate.

Key tasks:

  • The successful candidate will work with the production manager, manufacturing projects to specified deadlines, whilst maintaining the highest level of quality.

  • Candidates will be required to work with the Hartwood team maintaining a safe and clean workshop, in line with the company’s healthand safety policy.                                                                                                                                                                                                                                                                                                                                                     

Desired skills & expertise:

  • 5 years experience within the trade preferred, however, not essential.

  • Must be process-driven with excellent time management skills.

  • Must have a methodical approach to work and an eye for detail.

  • Clean and presentable.

  • Solid Surface fabrication experience preferred (not essential as training could  be provided)

  • First aid qualified / willing to take course (not essential)

  • Willing to share best practice.

  • A clean full UK driver’s licence.

  • Punctual, extremely reliable and a real team player.

Hartwood Joinery has relocated to a new 30,000 sq ft premises, heavily investing in modern machinery and our workshop facilities. Successful candidates will be provided with their own full workstation bay, complete with fully lockable personal tool storage. Insurance is provided for personal tools on site to a value of fifteen hundred pounds. A fully branded company uniform will be provided as well as on site parking.

Job description

We are looking for high quality apprentices to work within our team at Hartwood. We manufacture a wide range of high-quality products. The successful candidate will need to be capable of working to an exceptionally high standard. Attention to detail is paramount and the successful candidate must be able to fit into a very clean and structured workshop environment.

Apprentices will be provided with the opportunity to develop a greater understanding of all aspects of modern joinery, from CAD setting out in an office environment, machining and fabrication in the workshop, through to finishing, wrapping and dispatch.

Apprentices will spend time with various departments within the company shadowing staff members, gaining a wonderful opportunity to develop strong industry relevant skills and experience. Opportunities will be provided for successful apprentices to progress their careers within the company.   
 

Desired skills & expertise:

  • Candidates must be enrolled on or willing to enrol on the CITB NVQ Level 2 in Bench Joinery and advanced NVQ Level 3. Hartwood can help with this application if necessary.
